1. Our role: schools own their data
SkoolPro is a technology provider. When a school uses SkoolPro, the school decides what information is entered and how it is used — the school is the "data controller" of its students', parents' and staff's information. SkoolPro acts as a "data processor", handling that information on the school's behalf and under its instructions.
For our own website visitors and for the accounts of the people who administer SkoolPro, we act as the controller. If you are a parent, student or teacher and want to exercise a right over your data, the fastest route is usually through your school; we will always help where we can.
2. Information we collect
Information a school provides
- Account details for staff and administrators (name, email, phone number, role).
- Student records (name, class/section, roll number, guardian details, and academic information the school chooses to store).
- Parent and guardian contact details (name, phone number, and relationship to the student).
- Operational data created in the app: attendance, fees and payments status, results and report cards, homework and diary entries, announcements, and messages.
Information collected as you use the Service
- Device and app information (device model, operating system, app version) and basic log data used to keep the Service secure and working.
- Location data — only where a school enables live bus tracking, and only to show the relevant bus route to authorised users. Precise location is used for that feature and not for advertising.
- Images and scanned documents — for example, when a teacher uses OCR test scanning to capture marks from a paper test.
- Notifications and communication preferences (e.g. push notifications and WhatsApp support conversations).
We do not sell personal information, and we do not use student information to serve advertising.
3. How we use information
We use information to:
- Provide and operate the Service — recording attendance, fees, results, homework and announcements, and delivering real-time notifications.
- Authenticate users and keep each school's account secure.
- Provide customer support, including over WhatsApp.
- Maintain, troubleshoot and improve the Service and develop new features.
- Send important service messages (for example, security or billing notices).
- Comply with legal obligations and enforce our Terms of Service.
4. Students and children
SkoolPro is designed to be used by schools and by adults (teachers, administrators and parents/guardians) on behalf of students. It is not intended for independent sign-up by children.
A student's information is entered and managed by the school under its own policies and the consents it obtains from parents or guardians. We handle student information with particular care, limit access to it within the school's own account, and use it only to provide the Service. If you believe a child's information has been provided to us without appropriate authorisation, contact us and we will work with the school to address it.
6. Security and data isolation
Security is central to SkoolPro. The platform is multi-tenant: every school's data is logically isolated so it cannot be accessed by any other school. We use encryption in transit, role-based access controls, and reasonable administrative and technical safeguards to protect information against loss, misuse and unauthorised access.
No system can be guaranteed to be perfectly secure, but we work continuously to protect your information and to respond quickly if an issue arises.
7. Data retention
We retain information for as long as a school's account is active and as needed to provide the Service. When a school ends its use of SkoolPro, we make its data available for export for a reasonable period and then delete or anonymise it in the ordinary course, unless we are required to keep it to meet legal, accounting or security obligations.
8. Your rights and choices
Depending on your role and applicable law, you may have the right to access, correct, update or delete personal information, or to object to or restrict certain processing.
- Parents, students and staff: contact your school, which controls the relevant records. We support schools in fulfilling these requests.
- Account administrators and website visitors: contact us directly using the details below.
- Notifications: you can manage push notifications in your device settings and opt out of non-essential messages at any time.
9. Third-party services
The Service may rely on third-party providers for hosting, messaging (such as WhatsApp), maps for bus tracking, and push notifications. These providers process information only as needed to deliver their part of the Service. Their own terms and privacy policies govern their handling of data.
10. Changes to this Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify schools through the Service. Your continued use of the Service after an update means you accept the revised Policy.
